TRADERS EXPO 2024 RULES AND INFORMATION

• All Traders MUST have Up to Date Insurance, including Public Liability Insurance. (COC – Certificate of Currency to be provided before the event)
• Merchandise sold may include beads, beads kits, bead making equipment, tools, patterns, books and educational material, wire, threads, findings, other accessories associated with assembling beads for jewellery, clothing, embellishment, artworks and household items.
• Power – Box Hill Council can supply extension cords that are tested and tagged. Power cords belonging to traders must be tested and tagged. For safety, please ensure you bring applicable tape to cover cables to avoid trip hazards.
• WIFI – Free WIFI is available at Box Hill Town Hall, see committee for details at the Expo.
• No subletting of stalls without prior agreement with the Bead Society of Victoria.
• Pay in full on booking, or pay half now and half later.
• Traders must make final payments at least 2 weeks prior to the Expo.
• Cancellations – A Refund will be made up to 2 weeks prior to the Expo. Within 2 weeks of the Expo there will be no refund for cancellations.

DURING THE EXPO 2024

• You are required to trade for 3 full days, no pack up until after 3pm Sunday
• Bump In and Out times will be specified prior to the Expo.
• Bead Society of Victoria members will direct traders to their allocated placements on arrival.
• Occupational Health and Safety Regulations (OH&S) state that children must not be onsite during Bump In and Out during the Expo.
• Identity badges will be issued and must be worn during the Expo.
• Security of your merchandise and vehicles during Bump in and Out is your responsibility. The Bead Society of Victoria or the venue management accept no responsibility for the security of unattended goods.
• Any goods left behind, the Bead Society of Victoria INC accept no responsibility.
• Please ensure you keep the area tidy and remove all rubbish
• You will be supplied with chairs and trestle tables relative to the size of the space booked. NO additional chair and tables are to be used unless approved by the Bead Society of Victoria.
• Please bring tables covers for your tables and to cover your goods at the end of the day for security reasons. Limited table covers can be provided by the BSV.
• Please bring signage for your business, to be displayed at your tables. BSV does not provide signage.
• Use only blue or white gum tack to adhere signage to the walls no nails or permanent fixtures.
• BSV reserves the right to limit displays that are taking up excessive space. There is no right to extra space beyond what is booked
• Any structure or boards used within your allocated table allotment provided by you must comply with OH&S standards. The BSV reserves the right to insist on removal of items, which may be considered unsafe.
• Variation to setup or the use of your own tables must be approved in advance and confirmation will be sent to you. If approved/declined please ensure you bring on the day the written confirmation.
• The Bead Society of Victoria has made provision through the venue management to ensure the safety and security of the traders and the public. Neither the BSV nor the venue management or any staff, employees or other representatives shall be held accountable for or liable for any damage, loss or harm to the person or property, or goods in transit to or from the Expo and during the Expo

These points will be monitored throughout the Expo and the Bead Society of Victoria Inc reserves the right to ask you to remove items not clearly following the rules.
